Registration fees

What it is included in the registration

Registration fee include: admission to the event, possibility to submit an abstract, meals and coffee breaks as indicated in the programme, conference materials and a sociocultural activity.

Accommodation and travel are not included in the fees

Confirmation & Payment

The total number of participants will be limited to around 200 in order to preserve an interactive atmosphere, fostering scientific discussions and networking opportunities, and ensure the full integration of early-career researchers into the program.

Registration will be accepted on a first come, first served basis until the maximum capacity is reached. Registration will only be confirmed once payment has been received. If the meeting reaches full capacity, additional applicants will be placed on a waiting list and will be contacted as soon as a place becomes available.

Payments can be made by credit card or PayPal. If your institution is only able to pay by bank transfer please contact the Organizing Committee.

 

Abstract submission

Participants wishing to present their work at VAC2027 are invited to submit an abstract, which will be evaluated by the Scientific Committee. Please note that only registered participants are eligible to submit an abstract.

Abstracts should not exceed 200 words.

During the submission process, authors may indicate whether they wish to be considered for a Short Talk or a Flash Talk. Selection of abstracts for short talk, flash talk or poster presentation will be done by the Scientific Committee.

Abstracts will be evaluated based on their scientific quality, originality, and relevance. The Scientific Committee will also ensure dedicated presentation opportunities for early-career researchers. When selecting Short Talks, the Committee will additionally consider the distribution of presentations across the different scientific themes to ensure balanced representation throughout the programme.

Authors selected for Short or Flash Talks will be notified by 15 January 2027.

Presentation formats

Three presentation formats will be available for abstracts accepted at VAC2027.

Short talks: A total of 25 abstracts will be selected for Short Talks. Each Short Talks will last 15 minutes, consisting of a 10 minute presentation followed by 5 minutes for questions and discussion  

Flash Talks: selected poster presenters will be invited to give a 5 minutes Flash Talk highlighting the main findings of their work. Two Flash Talk sessions will be held, each featuring six presenters, followed by 10 minutes of moderated discussion.

Poster Session: Two dedicated 90-minute poster sessions will be held during the meeting, providing ample opportunity for scientific discussion and networking. The poster exhibition will be located in a room adjacent to the catering area to encourage interaction throughout the conference.

Poster Specifications

Poster must be in portrait format. Presenters are requested to mount their posters on the morning of the day on which their poster session is scheduled and to remove them at the end of the day.

Detailed information regarding poster sizes, poster boards and mounting times will be provided once the abstract selection process has been completed.
